Time Management and Prioritization
Category: Time Management
In order to meet deadlines, complete important tasks and contribute to work related projects, prioritizing these items can help you accomplish more during the day. When you make a task a priority, you’ll be more likely to finish it on time and ensure that you spend enough time on it. Â
Create a List
Creating a list of daily, weekly or monthly goals can help you stay organized and focused on your work. When creating this list, place all items that are considered a priority at the top. As you complete your list, cross off these tasks as a reminder that they are complete. For priorities that require assistance, make arrangements for extra help in advance. This way, you can ensure that help will be available when you need it. By prioritizing your tasks, you can begin to take more control over your schedule and manage the time you have more efficiently. By giving yourself enough time to complete these tasks, you can improve your productivity and job performance. For most people, simply creating a list and prioritizing their tasks helps to keep them focused and productive throughout the day.
Set a Reminder
Maintaining an electronic calendar that you can access using your PDA or cell phone, leaving notes for yourself on your computer or investing in a large wall calendar or dry erase board are all ways to remember important dates. These dates include meetings, deadlines, events or presentations. Depending on the number of tasks you have to juggle during the day, placing reminders in your office or on your computer is a great way to cope. By using reminders, you can maintain a level of professionalism and prioritize the events in your life that demand your attention.
Delegate Responsibility
If possible, delegate less important tasks to other people so you can focus on the ones that are the most important. When you delegate responsibility, you’re making room in your schedule for those tasks that are a priority.
Adopt a Daily Routine
If there are tasks that need to be completed each day by a certain time, these tasks are considered a priority. By adopting a daily routine and completing these tasks at the same time each day, you can ensure that they will be completed on time. Depending on the nature of these tasks, designate a time that’s both appropriate and convenient. Once you get into a routine, these tasks will take up less of your time during the day and reduce the risk of you forgetting to complete them. Â Managing Changing Priorities
Unfortunately, tasks that were once considered a priority may not always be a priority. Making changes to your schedule and having some flexibility is important. When your priorities change, your list needs to reflect these changes. Even though you may not have to rearrange your entire schedule, you may need to adjust the time of day when certain tasks are to be completed or remove them from your list entirely. Being able to adjust to change is just as important as creating a schedule and using it to manage your time. Â
